A full-time position exists for a Project Administrator to join the Capital Services team in the Project Delivery stream.
About the position:
This is a vital position responsible for providing essential functional governance, administrative, and controls support to the Project Delivery Teams. You will play a crucial role in ensuring the efficient and effective application of the SHL Project Delivery Framework, focusing on critical controls like documentation compliance, data integrity for reporting, and financial claim administration.
Key Responsibilities:
- Maintain systems to ensure data and artifacts are aligned and ready for Project Performance Analysis. You will be responsible for creating and communicating monthly reports to executives and the team as required. This includes collating inputs for the Monthly
- Project Report and utilising systems like Ellipse, Gatekeeper, and Project Online for regular reporting.
- Implement and administer Document Control Processes by managing document submissions, approvals, and workflows. Oversee document management in software such as AODocs and Procore. You will also handle governance around the Project Delivery framework, including recording and distributing minutes for governance meetings (e.g., Toll Gates), supporting audits, and managing change notices.
- Develop and distribute management reporting dashboards (e.g., Doc Control Compliance, Actions, Issue Logs) to monitor governance health, while maintaining and tracking Project Issue and RFI registers to ensure clear accountability and closure status.
- Provide contract support by drafting and preparing assignments and purchase order requisitions. Key duties include reconciling contractor invoices and claims against resource data and supporting the process to raise variations. Experience with invoices and accounting forms the basis of the work in Ellipse.
- Support contractor onboarding, including the allocation of inductions, training, and site access requirements.
About the location:
This role is based in Cooma, NSW. Cooma is known as the "Gateway to the Snowy Mountains," offering an excellent lifestyle with access to stunning natural landscapes and world-class outdoor activities.
Enjoy flexible working arrangements with a minimum of 3 days in the office, 2 days remote.
About you:
- Proven Project Expertise: 3+ years of experience in Project Controls, Project Administration, or Business Administration. You are a dependable professional who takes ownership of your workload and thrives in a fast-paced environment.
- Strong planning and organising skills with a background in high-level administration. You have a knack for prioritizing competing tasks and managing schedules to keep projects on track.
- Proficient skills in the full MS Office suite (Excel, Word) or Google Workspace. You are comfortable delivering results by using data to provide clear, actionable insights.
- Working knowledge of Enterprise Reporting Performance (ERP) systems—specifically CMMS/Ellipse, Oracle or equivalent. You understand how to navigate complex systems to ensure data integrity.
- A solid understanding of project management processes. You can communicate effectively with diverse stakeholders, translating project data into clear updates for the wider team.
- Demonstrated proficiency in Document Management & Control (e.g., AODocs, Procore, SharePoint). You understand the importance of version control and meticulous record-keeping.
- A natural ability for collaboration and building relationships. You work seamlessly across departments, ensuring that information flows smoothly and that team goals are met through collective effort.
